I define the included revision rounds in the proposal, but the useful part is a weekly scope note. I list every new request, its fee impact, and whether it changes the programme. The conversation feels much calmer when it happens before the extra work begins.
The timing matters so much. I used to mention the additional fee after producing the options, which made it feel like a surprise. Now I send a short change note and wait for written approval first.
We call it a scope change rather than an overage. The language keeps the conversation focused on the work that changed, not on whether either side did something wrong.
